Onboard and Enable Channel User Access to Billing Portal

Overview

This guide explains how to onboard channel users and assign them channel roles at the company and location levels to access the Billing Portal.


Where to Find the Add Channel User Option?

Option 1 — From the Users Page

  1. Navigate to the Users tab in the Billing Portal.

  2. Select Add User.

  3. Open the Add Channel User tab.

Option 2 — From Company Details

  1. Navigate to the Company Details page of the desired company.

  2. Click Add User.

  3. Open the Add Channel User tab.


How to onboard channel users?

Under Add Channel User, you can enter the user details and assign them to the appropriate channel, for example, SIT Billing Channel US. Once the user is added, they will receive an email invitation to join the Billing Portal and complete their registration.


Assigning Channel Roles to Channel Users to access specific locations in the Billing Portal

When adding a channel user, you can assign them specific channel roles at the location level, which determine their access level within the Billing Portal.

The available roles include:

  • Channel Sales Admin: Can only manage the Sales Records of all locations belonging to a channel.

  • Channel Lost Devices Admin: Can only manage lost devices records for all locations belonging to a channel.

  • Channel Sales Viewer: Can only view the Sales Records of all locations belonging to a channel.

  • Channel Lost Devices Viewer: Can only view lost devices records of all locations belonging to a channel.

  • Channel Billing Admin: Can manage sales and lost device records of all locations belonging to a channel.

  • Channel Billing Viewer: Can view sales and lost device records of all locations belonging to a channel.


Prerequisites for Assigning Channel Roles to Channel Users:

A channel user can be assigned channel-specific roles at the location level only when the following conditions are met:

  1. The channel is added as a Settings Contractor Channels in Global Settings.

  2. The Visible By Channels setting is enabled in billing settings at both the company and location levels for the relevant scope (Sales or Lost Devices). See Company billing settings for sales scope and Location billing settings for sales scope articles for more details on how to enable the Visible By Channels setting.

  3. The user belongs to the Channel

Only when these settings are configured can you assign channel-specific roles to a user for a specific location within the company.


Example of assigning channel roles to a user for a specific location of a company:

Channel User 1 is added to the SIT Billing Channel US channel. To enable Channel User 1 to access the dealer SIT Billing Auto US 1 Loc 1 of the SIT Billing Auto US 1 company with specific roles:

  1. SIT Billing Channel US channel must be configured Contractor Channels in Global Settings

  2. The Visible By Channels setting must be enabled at the company (SIT Billing Auto US 1) level for Sales and/or Lost Devices scope

  3. The Visible By Channels setting must be enabled at the location(SIT Billing Auto US 1 Loc 1) level for the same scopes

  4. Once these settings are in place, assign Channel User 1 specific channel roles (such as Channel Sales Admin or Channel Sales Viewer) for location SIT Billing Auto US 1 Loc 1. Only companies and locations with the Visible By Channels setting enabled will be available for selection.

  5. After the channel roles are assigned, Channel User 1 will have access to the assigned location in Billing Portal with the permissions associated with those roles.


Impact of Visible By Channels Setting at Location Product Level on Channel User Access

Billing settings at the location product level control channel user access. If Visible By Channels is enabled for Sales (e.g., Recovr4Keys), channel users can view sales records for that product type; otherwise, they cannot.

Therefore, enabling the Visible By Channels setting at the location product level for the relevant scope is mandatory for channel users to access records of that product type for their assigned location in the Billing Portal.
