Approve your Open Batches to Start the Invoicing Process

Overview

The Batches tab in the Billing Center displays all remittance batches created from approved lines in the To Pay tab. This section helps manage and track payment processing for selected records.


Structure of the Batches Tab

The tab contains two sub-sections:

  • Remitting Lines: Shows batches that are approved for remittance but not yet invoiced.

  • Invoiced Remitting Lines: Displays batches that have already been invoiced.


Columns in the Table

Each batch record includes the following details:

Column

Description

Remit ID

Unique identifier for the remittance batch.

Company

Name of the company associated with the batch.

Location

Location associated with the company.

External ID

External reference ID (e.g., custom identifier).

Summary

Brief description of the batch contents (e.g., Sales for R4C/R4K or Lost Devices).

Type

Indicates whether the batch relates to Sales or Lost Device.

Value

Total monetary value of the batch.

Currency

Currency in which the value is represented (e.g., USD).

Issuer

Specifies whether the issuer is Customer or Internal.

Status

Current status of the batch (e.g., Open, Invoiced).

Creation Date

Date when the batch was created.


Actions Available

For each batch, you can perform the following actions via the three-dot menu:

  • View Lines: Displays all individual lines included in the batch.

  • View Breakdowns: Shows a detailed breakdown of the batch components.

  • Go to Invoice: Navigates to the invoice associated with the batch (if applicable).

  • Cancel: Cancels the batch operation (only available for non-invoiced batches). This moves the record back to To Pay

Select one or more batches using the checkboxes, then initiate the Invoicing process from the Remitting Lines tab.


Sorting and Filtering

  • Sort By: You can sort batches by Creation Date or other available fields.

  • Applied Filters: Use filters to narrow down batches based on criteria such as status, type, or company.


Search Functionality

Use the search bar to quickly find specific records. You can search by:

  • Remit ID

  • Location Name

  • External ID

  • Issuer

  • Status


Key Notes

  • Batches are created from lines approved in the To Pay tab.

  • Only batches with Open status can be modified or canceled.

  • Ensure all details are correct before proceeding to invoicing.


Invoiced Remitting Lines Tab

The Invoiced Remitting Lines tab lists all batches that have been successfully invoiced. Key characteristics:

  • Status: Displays as Invoiced in green.

  • Immutable Records: These batches cannot be canceled or edited.

  • Invoice Link: Use Go to Invoice to view the associated invoice details.

  • Purpose: Provides a historical record of invoiced remittances.


Records Reconciliation

If any records within a batch under Remitting Lines (not yet invoiced) are marked as voided or found in RecovR portal, those records are automatically removed from the remitting lines. An automated email notification (once a day) is sent to the respective Billing Admins, with a copy to the Sales Admin, informing them of the removal.

Process Flow Diagram

Once individual lines are approved, they move into a holding area called a Batch. Each location can have up to two batches: one for Sales and one for Lost Locators.

All approved lines will continue to accumulate in their respective batch until an invoice is generated, at which point a new batch is automatically created.

Important Note:

You can invoice batches as often as needed β€” there is no limit.

If a line was added to a batch by mistake, you can remove it before invoicing by clicking the three dots on the far right and selecting "View lines".

If the line is removed from the open batch, it will be returned to the To Pay tab.
