Invoices - how to get and manage them

After you click the "Start Invoicing" button in the "Batches" menu, the system will generate the invoice within approximately 10 minutes.

A PDF version and a matching spreadsheet report will be emailed to you. Payment instructions can be found at the bottom of the PDF.

Overview

The Invoices section in the Billing Center provides a consolidated view of all invoices generated for billing purposes. It includes summary panels for quick insights and detailed tables for invoice-level information. This section is divided into two tabs:

  • Invoices: Displays invoices generated in the current Billing Center system.

  • Previous System: Displays historical invoices from the previous system i.e. from the RecovR portal before the cut-off date.


Summary Panels

At the top of the page, the following summary panels are displayed:

  1. Total Charges This Month

    • Shows total charges for the current month, including breakdowns by:

      • RecovR Locators

      • RecovR Tags

      • Lost Locators

    • Includes total amount with taxes.

  2. Total Credits This Month

    • Displays total credits applied during the current month.

    • Shows "No Open Credits" if none exist.

  3. Service Fees

    • Displays any open service fees.

    • Shows "No Open Service Fees" if none exist.

  4. Open Amounts

    • Provides a summary of outstanding amounts:

      • Total: Combined open amount.

      • Open: Amount currently unpaid.

      • Overdue: Amount past due date.

      • Partially Paid: Amount partially settled.

  5. Open Amounts (Previous System)

    • Displays outstanding amounts from the previous system:

      • Total

      • Not Paid

      • Overpaid

      • Partially Paid

Notes :

  • The Previous System tab/information is dynamic i.e only visible, if such such records exists.


Tabs

  • Invoices: Displays invoices generated in the current system.

  • Previous System: Displays historical invoices from the previous system.


Columns in Invoices Table

Column

Description

Invoice ID

Unique identifier for the invoice.

Location

Location associated with the invoice.

External ID

External reference ID for tracking.

Creation Date

Date when the invoice was created.

Due Date

Date by which payment is due.

Type

Indicates the type of invoice (e.g., User Remittance).

Status

Current status of the invoice (e.g., Open, Paid, Overdue).

Total Amount (excl. taxes)

Invoice amount excluding taxes.

Taxes

Tax amount applied to the invoice.

Balance Due

Outstanding balance on the invoice.

Currency

Currency in which the invoice is billed (e.g., CAD, USD).


Columns in Previous System Table

Includes additional details such as:

  • Month

  • Invoice ID

  • Total

  • Paid

  • Status

  • Detailed breakdown of items billed (e.g., Locators, Tags, Lost Devices).


Actions Available

  • Invoice Information: Invoice total, balance due, invoice date, and due date.

  • Charges: Breakdown of charges including RecovR Locators and Tags with quantities and amounts.

  • Status: Current invoice status and payment status.

  • Line Items Table: Detailed view of all items included in the invoice (Stock #, VIN, Locator ID, Buyer Name, Sale Date, Products, Sales Type, State, Bill To, Line Status).

  • Download Invoice: Button to download the invoice in PDF format.


Sorting and Filtering

  • Sort By: Allows sorting invoices by Creation Date or other fields.

  • Applied Filters: Filters can be applied to narrow down invoices based on status, location, or type.


Key Notes

  • Summary panels provide quick insights into charges, credits, and outstanding amounts.

  • Status indicators:

    • Open: Invoice is active and unpaid.

    • Paid: Invoice has been settled.

    • Partially Paid: Invoice is partially settled.

    • Overdue: Invoice is overdue.

  • Ensure timely payment to avoid overdue status.

Simple Navigation Flow

You can also navigate to the "Invoices" menu to view the history of invoices the system generated for your Company. In this menu, you can:

  1. Follow up on the open invoices by clicking the specific invoice line to view its details.

  2. Complete the payment details by clicking on the "manage payment button on the top right.

  3. Download the Invoice PDF file and the list of the VINs linked to it.

  4. Manage disputes in specific lines of this corresponding invoice.

Important:ย 

Once an invoice is generated, its line items are locked and cannot be modified. If corrections are needed, you may request a Credit Note; however, the original invoice must be paid in full before the credit can be issued. To avoid this, remove any incorrect line items from the batch before invoicing.
